Who develops and supports MedLedger?

Health Data Services (HDS), Inc. develops MedLedger. HDS is headquartered in Charlottesville, Virginia, and has been a Practice Management vendor and clearinghouse for over two decades.

Where is MedLedger available?

MedLedger is available in all 50 states, and accessible while traveling.

Can you convert the data from my current system?

We can covert data from legacy systems. However, the amount of convertible data depends on the quality and format of your legacy data. Extra fees are applicable.

How do I install and learn to use MedLedger?

Our excellent support staff will assist you with installation and setup every step of the way. Our support staff is located in Central Virginia, and you get free unlimited phone support provided by a real live person. MedLedger also has an excellent Help System that enables you to help yourself with every aspect of the program.

How long does it take to get up and running with MedLedger?

You can start using MedLedger as soon as your enrollment is complete (usually within 1-2 business days). The data creation process (creating your diagnosis and procedure codes, service fees, patient registration, etc.) depends on the size of your practice and your available resources.

What are the minimum system requirements to use MedLedger?

A Windows compatible 1 GHZ Pentium PC, 128 MB memory, VGA monitor with a minimum of 1024 X 768 screen resolution, 2 GB of disk space, and a modern Windows operating system (Vista, 7, 8, or 10).

Note – MedLedger also runs great on Windows tablets, as long as the screen resolution meets or exceeds 1024 x 768

Will MedLedger run on a Mac?

MedLedger runs on Windows Vista, Windows 7, Windows 8/8.1, and Windows 10 operating systems. If your Mac has one of these Windows operating systems installed in addition to your Mac OS, MedLedger will run just fine.

Is hardware included with MedLedger?

No. You are responsible for your own computer systems.

Is MedLedger HITECH (ONC-ATCB) Certified?

MedLedger was ONC-ATCB certified in accordance with Stage 1 Meaningful Use (MU) criteria. We learned, however, was that MU was not on the radar of most small practices. Meaningful Use is difficult to understand and laborious to implement for a payoff that is, for most small practices, not worth the effort.

MU Stage 1 expires at the end of 2013, and Stage 2 now goes into affect. Stage 2 places an even greater burden on providers. As of now, MedLedger is not certified for Stage 2. However, the MedLedger EHR was specifically designed for smaller offices and physicians that want to maintain a traditional work flow. MedLedger’s EHR is easy to learn and easy to use, and is fully integrated with our practice management system.

If you have a separate EMR system that you would like to continue to use, we offer the ability to interface with that software vendor to automatically move demographic and clinical data between systems.

How do I know my information is secure?

MedLedger guards your database with multiple firewalls, VeriSign user authentication, network monitoring and intrusion detection. We take your security and confidentiality very seriously..

How often is my data backed up?

Daily (Mon-Fri). Your data is backed up in our secure, state-of-the-art server facility. Your records are protected from disasters such as fire, flood, theft, and power loss.

Is my patient data stored separately from other practices?

Absolutely. Your practice has its own highly encrypted database, separate and secure from all others.

Do you send claims to all insurance companies and other third party payers?

Yes. HDS submits electronic claims to Medicare, Medicaid, Blue Cross / Blue Shield, and commercial payers.

How does the MedLedger claims process work?

MedLedger receives your claim information, then “scrubs” the data using our proprietary claim processing engine, ClaimHub. ClaimHub compares your data to the information the specific payer requires. If the claim is missing information the payer requires, you’ll know immediately so you can correct it before the payer even sees the claim. This means faster reimbursement with all payers because your claims are filed accurately and processed more efficiently with fewer rejections.

Is MedLedger HIPAA compliant?

Absolutely. All claim types are Edifecs-certified to ensure they are HIPAA-compliant. MedLedger contains all HIPAA datasets and was designed from the ground up to comply with HIPAA regulations. See our HIPAA page for more information.
